BASICS OF PROCESS MAPPING

·         Process mapping is the graphical representation of any process in which input, output and other activities which are involve in that process included.

·         We can identify the major areas of strengths and weaknesses in the existing process.

·         It represent the entire process with all small-small activities carried out during the process.

·         It is analysis of work flow during process which is getting optimized.

·         It shows the proper sequencing and interrelations between all steps including in process.

·         The purpose of process mapping is to help team members and others within the process to understand the process

PURPOSE OF PROCESS MAPPING

·         Identify the inter-transfer of tasks and documents between departments.

·         To show the responsibilities of each task for a particular people who are working under this process.

·         To simplify the process.

·         Provide the tool for training.

·         By splitting the process into various steps we can easily identify the problem occurs in any process and hence can make an improvement.

·         Can improve the relationship between costumer and supplier by eliminating such problems.

This oval shape represents the inward materials, Input to start the process and Output which ends the process.

         


Actions

A rectangular box is used to denote the various activities performed in the process.


 


Decision Box


This box shows the decision making point in the process in the form of yes or no.

        

Break

It represents the break to the process that means if the process is large and could not complete in one page then we can use this symbol and break the process and start on new page from where it breaks.


 


System or Application


This cylindrical block represents the system or application which is used in the process.

Data transfer

It use when any type of data is collected from system of data given to the system.

Process Flow Connector

It represents the process flow in the given direction of arrow.


It connects between any two steps of process.

 

Annotation

It gives in the process mapping when any type of additional information is written for the reader.

Timer

It represents delay time in the process or early time.

Also shows the time require to complete any step in the process.

 

STEPS OF PROCESS MAPPING

Process selection

·         Departmental head or manager should identify the proper reason to map the process.

·         He identify the lagging performance of any process or any implementation of new process or service that should be mapped.

·         Requirement of process mapping should be very clear then manager make a required corresponding document set for selection of process mapping.

Scope

·         Managers must observe the whole process and collect the required data and information.

·         The observed process and data should be properly documented.

·         It should identify all the parameters that are involved in the process like the man, machinery, suppliers, methods etc.

·         It is also vital to identify and verify the inputs involved and outputs of the process.

·         This can be done through effective brainstorming, industry standards, work instructions and experience of the operators and managers.

Schedule

·         For process mapping needs to proper schedule to use all resources on time.

·         In schedule there should be start time and end time include for the process.

Mapping technique

·         There are two mapping techniques normally used for process mapping, flowchart or deployment flow chart.

·         Before selecting technique see the preexisting process mapping for reference only.

Roles and responsibilities

·         In the process mapping all roles and responsibilities should be very clear to get proper output.

·         Every task is identified and gives responsibility for those identified task.

Analysis and evaluations

·         It should be thoroughly analyzed to get idea about redundant activities, time lapse and un-useful steps in process.
